FirmFlow Technologies ("FirmFlow," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy describes our practices regarding the information we collect, use, and share when you interact with our website, software products, and services.
2. The FirmFlow "On-Premise Native" Philosophy
Unlike traditional SaaS providers, FirmFlow is explicitly designed as an on-premise enterprise software solution.
We do not host or have access to your primary firm data or your clients' sensitive financial documents. That data remains entirely within your chosen IT infrastructure (local servers, private cloud, or hybrid network) and under your exclusive sovereign control. We cannot read, analyze, or sell your documents.
3. Information We Do Collect
While we do not access your core database, we collect limited information necessary to license, maintain, and support the software:
- Licensing Data: License keys, server identifiers (MAC addresses/Hardware IPs) for node-locked licensing, seat counts, and registration details (Firm Name, Admin Email).
- Telemetry and Support Data: Opt-in diagnostic logs, error reports, and version checks to provide Tier 2/3 technical support and ensure update continuity under your Annual Support & Maintenance (S&M) agreement.
- Telemetrics (Website): Standard analytics (IP address, browser type, pages visited) when you browse www.firmflow.ng to improve our marketing.
- Billing Information: Information required to process license renewals and service fees.
4. Hybrid AI Usage (SmartRequestAI™)
If your firm enables the optional SmartRequestAI™ Hybrid Connect feature:
- Your local server communicates with our cloud bridge via secure TLS 1.3 outward APIs.
- Only anonymized metadata or explicitly selected text snippets are sent to our cloud processors for LLM analysis.
- We do not store or use this temporary payload to train our models. The data is discarded immediately after processing the AI inference result and returning it to your local server.
5. NDPR Compliance
FirmFlow is built in strict adherence to the Nigerian Data Protection Regulation (NDPR). Our architecture ensures that financial firms using our software easily meet data residency requirements because the data never physically leaves Nigerian borders unless explicitly configured by the firm's IT administrator.
